The University's records management policy and programme are in place to ensure that institutional records are positively managed and actively exploited as information resources.
The University's policy covers all records produced or acquired by the institution and specifically addresses the issues of retention, destruction, access and storage.
The records retention schedule is the centrepiece of the records management system and shows the duration that each type of document should be retained, its location and media. The schedule also identifies where a type of document may contain personal data which may be subject to the Data Protection Act 1998. The schedule shows key University documents but it is not possible to provide an exhaustive list of every document generated in the University. If a record type is not shown you should seek guidance on appropriate retention period from the responsible department.
Any suggestions for changes in working practices should be discussed with the responsible department and sent to the University Secretariat.
For a copy of the Schedule or for any other queries please contact Helen Williamson, ext 3661.
